ADMINISTRATIVE ASSISTANT

Job Description

We are seeking an Administrative Assistant, ideal for a Technologist or final-year student in Business Administration or related administrative fields, with at least two (2) years of experience in administrative processes, including procurement, petty cash management, and vendor coordination.

This role is responsible for supporting the firm’s operational processes, including courier services, office maintenance coordination, procurement of supplies, petty cash administration, and expense reconciliations, ensuring efficiency, quality, and timely responses to both internal and external client needs.

The ideal candidate should demonstrate strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously in a fast-paced legal environment. A proactive, resourceful mindset, a strong sense of urgency, and an outstanding client-service orientation are essential.

Requirements

  • Technologist degree or final-year student in Business Administration or related administrative programs
  • Minimum of 2 years of experience in administrative processes (procurement, petty cash, vendor management)
  • Experience coordinating courier services, cleaning/maintenance suppliers, procurement processes, and expense reconciliation
  • Proficient in Microsoft Office (Excel preferred)
  • Experience in law firms or professional services companies is highly desirable

Functions

  • Coordinate courier and messenger services
  • Support the supervision and coordination of cleaning and maintenance service providers
  • Prepare and manage vendor quotations
  • Provide support in the procurement process
  • Manage petty cash and perform expense reconciliations
  • Maintain effective communication and follow-up with vendors
